Project Case Study 1: Corporate Event Production & Vendor Management

The Challenge: To plan and execute a high-stakes corporate event from the ground up, requiring meticulous budget management, complex vendor negotiations, and seamless logistics to maximize attendee satisfaction and event revenue.

My Role: Project Coordinator

The Process & My Actions:

I directed the full lifecycle of a corporate event with a $132,000 budget and provided budget oversight and weighed vendor proposals to determine the Total Cost of Ownership (TCO), effectively mitigating key business risks before contract award.

I conducted market research to identify and vet vendors for catering, A/V, and staging. 

I personally negotiated contracts with over 15 vendors, ensuring clear service expectations and contingency plans from initiation to final delivery. 

Throughout the project, I managed all vendor relationships, sponsor deliverables, and talent logistics.

The Outcome: My direct actions resulted in a 12% reduction in costs through sharp negotiation, a 20% increase in event revenue via sponsor management, and a 95% attendee satisfaction rate.

Tools & Technologies Used:

ClickUp: To create tasks, assign them to specific people, set due dates and priority levels, and track progress through custom workflows (e.g., To Do, In Progress, Review, Complete). 

Excel: For budget tracking and reconciling expenses against the $132K event budget. 

LucidChart: To map out event logistics, venue layouts, and the "Run of Show" schedule. 

Canva: To create professional presentations and digital promotions for event sponsors and stakeholders.
